Introduction to automatic distribution methods

ScheduleOnce provides robust functionality for automaitcally distributing bookings amongst teams. Different teams in your organization may be conducting meetings.  For example, your account executives may be conducting sales calls, while your customer success team may be conducting onboarding sessions. Each team and each business scenario may have different requirements for how bookings should be distributed. With the use of Master pages and Resource pools, you can define different distribution methods to fit the specific team and scenario. 

ScheduleOnce offers four different automatic Distribution methods. The distribution method can either be defined on a Rule-based assignment Master page or on a Resource pool. With the use of Resource pools you can create a single Master page with multiple distribution methods. 


What are the four automatic distribution methods?

  • Round robin: This distribution method is organization-focused and should be used if achieving an equal booking distribution is most important. When Customers visit your page, they are only presented with the availability of the next team member in line. This distribution method can only be defined on a Resource pool. It cannot be defined directly on the Master page level. 
     

  • Pooled availability: This distribution method is customer-focused and should be used if providing Customers with the maximum number of time slots is most important. When Customers visit your page, they see the combined availability of all team members in one booking calendar. When the Customer selects a time, the booking is assigned to the team member with the longest idle time. This distribution method can be defined on a Rule-based assignment Master page with Static rules as well as on a Resource pool

  • Pooled availability with priority: This distribution method is a hybrid method which provides Customers with the maximum amount of time slots while also giving priority to specific team members. When Customers visit your page, they will see the combined availability of all team members in one booking calendar. When the Customer selects a time, the booking is assigned to the team member with the highest priority ranking. This distribution method can be defined on a Rule-based assignment Master page with Static rules as well as on a Resource pool

 
  • Find member by time: This distribution method is a hybrid method between automatic assignment and manual selection by the Customer. This method provides Customers with the maximum amount of time slots and still lets them select their preferred team member. When Customer visit your page, they will see the combined of all team members in one booking calendar. Once a time is selected, Customers see all available team members and make their preferred choice. This distribution method can only be defined on a Rule-based assignment Master page with Static rules. It cannot be defined on a Resource pool
